Food Coordinator Check List:

Accountable to: DRE of host church

The host church DRE and/or Cluster Adult Advisor Rep will identify a Food Coordinator who is available throughout the entire weekend. They do not have to sleep at the church but they will need to identify someone to act in their stead when they are absent. They MUST be at the event during Adult Orientation (usually Friday night at 8pm, but check the schedule). This is a time when all adults at the con must convene. The YAC Reps are responsible for enforcing the rules and maintaining the covenant, however, we need at least one adult set of eyes to help out. The food coordinator MUST also be present Saturday night at dinner time. This is when all adults at the con convene for check in and processing. The Food Coordinator will:

  • Communicate with the DRE and Registrar to determine number of attendees and special dietary needs 2 weeks prior to the con
  • Plan menus for Saturday breakfast, lunch and dinner and Sunday breakfast and snacks being mindful of budget and diet restrictions. Meals will be planned with healthy/environmentally conscious purchases and diet in mind
  • Communicate with host site to determine kitchen capabilities (can you fry food, what pots and pans do you need, is there compost? etc)
  • Purchase food and supplies the Thursday before the con
  • Keep all receipts for later reimbursement. Submit original receipts with payment voucher to This e-mail address is being protected from spambots. You need JavaScript enabled to view it for reimbursement
  • Bring food and supplies to the con Friday before 6pm
  • Communicate with Gaggle Group Leaders to determine how Gaggle Groups will help make meals or help with set up and clean up. This includes attending Gaggle Group Leader Orientation Friday evening, or providing the orientation leader with the aforementioned instructions and writing/typing meal preparation details for Gaggle Groups and posting in kitchen
  • Replenish drink station: coffee, hot water for hot chocolate and tea, water and juice
  • Replenish the snack table with peanut butter, jelly, bread, pretzels, nutella etc.
  • Determines what to do with leftover, unopened, non-perishable food. (keep for next con? give to food bank? leave for the host site?)
  • Meets with conference leadership at end of con for evaluation.
  • Turns in recipes and planning suggestions to Con Cook Book Coordinator

  • Peanut butter (if your congregation has a no peanut rule consider sunflower seed butter or almond butter)
  • Jelly
  • Animal crackers
  • Pretzels
  • Sliced bread (white, wheat and gluten free)
  • Nutella
  • Apples,oranges/clementines and/or bananas

Typical Breakfast List

  • Bagels
  • Cream cheese
  • Hummus or other vegan alt.
  • Cereal (vegan)
  • Milk
  • Soy milk
  • Juice
  • Coffee
  • Apples, oranges and/or bananas
  • A gluten free alt dependent on registrants
